ClearlyBooked takes the privacy of your information very seriously. When you use ClearlyBooked services, you trust us with your information. This policy explains how and for what purposes we use the information collected about you. This is important; we hope you will take time to read it carefully. By using our services, you are agreeing to be bound by this policy in respect of the information collected about you.

Information we collect

We collect information to provide better services to you. We may request at times that you voluntarily supply us with personal information that may be used to identify an individual, including, but not limited to, a first and last name, home or other physical address, an email address, phone number, and other contact information, whether at home or at work. We also collect unique identifiers such as user name, account number and password.

We collect information in the following ways:

  • Information you give us. Our services require you to sign up for a ClearlyBooked Account. When you do, we ask for personal information, like your name, email address and telephone number to store with your account. If you want to take full advantage of the social network features we offer, we might also ask you to create a publicly visible profile, which may include your name or an alias and a photo.
  • Information we get from your use of our services. We collect information about the services that you use offered by ClearlyBooked as well as services you use with companies you connect to through ClearlyBooked ("Third Party Sites") and how you use them. This information includes, but is not limited to:
    • Technical and navigational information like device (such as your hardware model, operating system version, unique device identifiers, and mobile network information including phone number), log (details how you used our services, ip addresses, device event information such as crashes and system activity), location, local storage (we may collect and store information locally on your device using mechanisms such as browser web storage and application data caches), cookies (used to identify your browser or device and your preferences or behavior).
    • We and our partners use various technologies to collect and store information when you visit a ClearlyBooked service, and this may include using cookies or similar technologies to identify your browser or device. We also use these technologies to collect and store information when you interact with services we offer to our partners, such as advertising services or features that may appear on other sites.
    • Third Party Sites usernames and passwords
    • Your account and other personal information from Third Party Sites that you register under your account via our services. For example, if you register your HomeAway account with us, we will aggregate your HomeAway information via our services in order to present it to you.
  • Cookies and other tracking technologies.
    • We may use cookies, for example, to keep track of your preferences and profile information. Cookies are also used to collect general usage and volume statistical information that does not include personal information.
    • We use another company to place cookies on your computer to collect non-personally identifiable information to compile aggregated statistics for us about visitors to our site.
    • Web beacons
    • Our Web pages contain electronic images known as Web beacons (sometimes called single-pixel gifs) and are used along with cookies to compile aggregated statistics to analyze how our site is used and may be used in some of our emails to let us know which emails and links have been opened by recipients. This allows us to gauge the effectiveness of our customer communications and marketing campaigns.
    • Our Web pages may also contain electronic images known as Web beacons (sometimes called single-pixel gifs) that are set by our third party partners. Web beacons are used along with cookies enabling our partners to compile aggregated statistics to analyze how our site is used.
    • We use a third party to gather information about how you and others use our Web site. For example, we will know how many users access a specific page and which links they clicked on. We use this aggregated information to understand and optimize how our site is used.

    Information we collect when you are signed in to ClearlyBooked, in addition to information we obtain about you from Third Party Sites, may be associated with your ClearlyBooked Account. We treat this information as personal information.

How we use information we collect

We use the information we collect from all of our services to provide, maintain, protect and improve them, to develop new ones, and to protect ClearlyBooked and our users. We may share information between Hosts and Vendors. We also use this information to offer you tailored content – like giving you more relevant statistical information. We deliver to you any administrative notices or alerts and communications relevant to your use of the services. In order to allow you to use certain services, we may be required to verify your identity. To do so, we may, directly or through third parties, use information you provide to verify information you provide against third party databases or through other sources. We may also use your information to verify your identity in the event you contact us for assistance with our services. We may use your information to pre-fill form fields on our services for your convenience. We may use your payment account information to recommend the best payment source. For example, we may recommend that you use a specific credit card to pay a given bill because that card has the lowest APR. We may use information you provide about Third Party Sites to provide the services, which may include accessing the Third Party Sites you select on your behalf, so that we can present the requested information to you. When you use the Mobile Application or mobile versions of our services we may collect the unique device identifier assigned to that device by phone makers, carriers, or makers of the operating system (the "Device ID"). Device IDs allow app developers, advertisers, and others to uniquely identify your device for purposes of storing application preferences and other data. We may use your Device ID for security purposes. For example, if you have activated a feature that limits access to a Service from a specific device, our systems will access the Device ID from each device you attempt to access the Service with to determine if the device is the specific authorized device. Additionally, we may use Device IDs to monitor suspicious activity. For example, if we detect that a single account on a Site is being accessed from multiple devices, as determined by tracking the Device IDs that access an account, we may contact the user to ensure that such access has been authorized by the user. We may share a unique user identifier with our analytics system (the "User ID"). User IDs allow us to monitor user behavior across devices and sessions (both authenticated and unauthenticated) so we can improve our services.

When using our services, there are a number third parties who also need to store cookies to enable their services. These include but are not limited to, Amazon for running our load balancers and Google to enable Analytics.

You may set your browser to block all cookies, including cookies associated with our services, or to indicate when a cookie is being set by us. However, it’s important to remember that our services will not function properly if your cookies are disabled.

Sharing this information

We do not share personal information with companies, organizations and individuals outside of ClearlyBooked unless one of the following circumstances applies:

  • With your consent. We will share personal information with companies, organizations or individuals outside of ClearlyBooked when we have your consent to do so.
  • For external processing. We may share your personal information with third party service providers to enable them to assist in fulfilling the requests you make or the transactions you conduct via our services in compliance with our privacy policy.
  • For legal reasons. We will share personal information with companies, organizations or individuals outside of ClearlyBooked if we have a good-faith belief that access, use, preservation or disclosure of the information is reasonably necessary to:
    • respond to subpoenas, court orders, or legal process
    • investigate, prevent, defend against, or take other action regarding violations of our Terms of Service, illegal activities, suspected fraud, or situations involving potential threats to the legal rights or physical safety of any person or the security of our network or services
    • respond to claims that any posting or other content violates the rights of third parties
    • protect against harm to the rights, property or safety of ClearlyBooked, our users or the public as required or permitted by law.
  • We share your personal information with other companies so that they can market their products or services to you. If you do not want us to share your personal information with these companies, contact us at support@clearlybooked.com.

We may share non-personally identifiable information publicly and with our partners – like publishers, advertisers or connected sites. For example, we may share information publicly to show trends about the general use of our services.

If ClearlyBooked is involved in a merger, acquisition or asset sale, we will continue to ensure the confidentiality of any personal information and give affected users notice before personal information is transferred or becomes subject to a different privacy policy.

Other sites

We cannot be responsible for the privacy policies and practices of other sites even if you access them using links from our services or if you were directed to our services from another site. We recommend you check the policy of each site you visit.

We use Third Party Sites to gather data from your financial institutions. By using our services, you grant our Third Party Sites the right, power, and authority to act on your behalf to access and transmit your personal and financial information from the relevant financial institution according to the terms of our Third Party Sites' privacy policies.

Our Site includes links to other Web sites whose privacy practices may differ from those of ClearlyBooked. If you submit personal information to any of those sites, your information is governed by their privacy statements. We encourage you to carefully read the privacy statement of any Web site you visit.

Communiacations

You may sign-up to receive newsletter or other communications from us. If you would like to discontinue receiving this information, you may update your email preferences by clicking the unsubscribe link at the bottom of the email and/or by unsubscribing on our website.

If you send us an e-mail with questions or comments, we may use your personally identifiable information to respond to your questions or comments, and we may save your questions or comments for future reference. We may send you e-mail under the following circumstances: (a) if you request a particular service or sign up for a feature that involves e-mail communications; (b) if it relates to purchases you have made with us (c) if we are sending you information about our other products and services; (d) if you consented to being contacted by e-mail for a particular purpose; (e) if you send us an e-mail, post information on the Websites (i.e., a blog) or otherwise submit information to us electronically, we may e-mail you to follow-up or otherwise communicate with you with respect thereto; (f) to provide you legal notices or notices with respect to your use of the Websites; or (g) to otherwise facilitate a transaction between us. We work hard to protect ClearlyBooked and our users from unauthorized access to or unauthorized alteration, disclosure or destruction of information we hold. In particular:

  • We do not store usernames and passwords from Third Party Sites.
  • We do not store financial account numbers from Third Party Sites.
  • We review our information collection, storage and processing practices, including physical security measures, to guard against unauthorized access to systems.
  • We restrict access to personal information to ClearlyBooked employees, contractors and agents who need to know that information in order to process it for us and who are subject to strict contractual confidentiality obligations.

We follow generally accepted industry standards to protect the personal information submitted to us, both during transmission and once we receive it. No method of transmission over the Internet, or method of electronic storage, is 100% secure, however. Therefore, we cannot guarantee its absolute security.

We will retain your information for as long as your account is active or as needed to provide you services.
